The Church of England Pensions Board provides retirement services set by the Church of England for those who have served or worked for the Church.

The Pensions Board is a charity within which the Housing department provides retirement accommodation and services, but we are not a registered social housing provider, and do not operate as one. The Board’s vision is to deliver a professional high quality and efficient service to our customers, respecting their needs and the needs of those who provide us with the money to do this.

As Business Administration Assistant, you will support the Business Administration Officer with a range of tasks to enable delivery of an effective service that meets the diverse needs of our customers, business partners and stakeholders. In return, you will have the opportunity to develop your knowledge and skills in an office environment.

Working collaboratively, you will process payments and invoices, update housing information, process daily incoming post and ensure system data accuracy.

Although we would like you to be articulate and understanding as you will communicate with both customers and business partners, equally important is your desire to learn and work as part of a team to deliver an excellent standard of service. IT literate and organised, you will help to deliver a key support service in an efficient and customer focused manner.

This is a fixed term contract expected to last for 15 months.

Interviews will be held on the 29th January 2020 and the 3rd February 2020

The Role

Payment processing

Responsible for processing payments and invoices across the Business team to include all departmental accounting functions in relation to works orders, purchase and framework orders, credit notes and invoices. Working collaboratively alongside our Finance and Resources partners to ensure prompt payment and investigate queries. Amend and update Housing system data or complete appropriate accounting process to reflect data changes.

System

To maintain computer-based records, ensuring the accuracy of data and recorded information. Develop understanding of other internal data systems within the Housing Department, including UPM, SAP BI etc.

Process incoming electronic post through mailbox and downloads, ensuring that post is delivered to the Housing team in a timely manner.

Customer

Support the Business Administration Officer in processing the quinquennial inspections of legacy mortgage properties, developing customer service skills and dealing with queries.

To answer housing helpline telephone calls in an efficient and courteous manner and where required, refer to the appropriate member of staff.

To carry out duties and responsibilities in accordance with the Church of England Pensions Board customer care standards.

Business Support

Process business travel, stationery requests and organise meeting lunches as required and maintain effective internal communication within Housing teams.

Responsible along with team members for ensuring continuation of service in the absence of other staff.

The Requirements

Essential

Skills/ Aptitudes:

  • Oral and written communication
  • Knowledge of Microsoft Office proficient use of Word and Excel

Knowledge/Experience (Desirable):

  • Experience of working in an office environment
  • Maintaining systems to track and monitor workload.
  • Experience of processing invoices/creating purchase orders
  • Experience of service delivery in a busy environment

Education:

  • Education to GCSE standard or equivalent in English and Maths (Grades A* -C).
