This role is for 24 hours per week, working Monday-Thursday.

PRIMARY PURPOSE OF POST

  • To provide administration support for the School of Ministry hubs.
  • To work as part of the wider Ministry and Mission administration team providing administration support for the Director of Lay Training.
  • To assist with reception/general administration support within the diocesan office.

MAIN DUTIES AND RESPONSIBILITIES

  • To assist the School of Ministry Principals and core staff in administrating the teaching/tutorial programmes of the School of Ministry Hubs, by providing general secretarial support to the Principal and Hubs (photocopying, mailings, dealing with telephone messages and emails etc).
  • To provide administration support to the Director of Lay Training.
  • To administer the School of Ministry meetings (including booking venue and catering, preparing paperwork and taking minutes).
  • To maintain and update student records, electronic databases and input for websites.
  • To provide administrative back up on School of Ministry Study Days including Sundays and weekday evenings.
  • To able to handle all matters related to the use of the YTEP and Common Awards Virtual Learning Environment, including setting up modules and availability to tutors and students.
  • To maintain records of students, including registration, reporting of marking (including suspensions from modules, deferrals of assessments etc) for Examination Boards, communicating with the YTEP Coordinator and administrator.
  • To be available to students and tutors to assist with on-line problems of work submission etc when tutors are not available.
  • Respond to and manage the Director of Lay Training’s emails
  • Ensure that all emails of the Director of Lay Training’s emails are responded to in a timely manner.
  • Undertake scanning, filing, printing and photocopying duties for the Director of Lay Training.
  • Arrange and make appropriate travel arrangements for the Director of Lay Training where appropriate.

Reception

  • Welcoming all visitors in a friendly, approachable and professional manner and ensuring they sign in and out of the building.
  • Offering hospitality to visitors.
  • Dealing with enquiries over the telephone and at the reception.

Skills, Knowledge and Aptitude

The administrator should be able to provide evidence of the following:

  • good word processing skills
  • good IT skills and competent in the use of Microsoft Office, in particular Outlook, Word, Excel and Publisher.
  • ability to innovate, initiate and maintain good and effective administrative procedures.
  • experience of academic administration (desirable)
  • ability to work both independently and collaboratively and participate as part of the wider office team.
  • ability to manage a varied work load efficiently and flexibly to prioritise tasks in order to meet deadlines.
  • ability to communicate effectively (written and oral) with people at all levels, both inside and outside the organisation.
  • ability to establish and maintain excellent working relationships with colleagues and other contacts.
  • good skills in presentation, layout and accuracy in text production.

Qualifications, Training and Experience

The administrator should be able to provide evidence of the following:

  • 5 GSCE’s (or equivalent) including English and Maths at grade C or above.

Special Requirements

The administrator should:

  • be able to attend weekend events where required.
  • be able to travel to each of the hubs, including at weekends and in the evenings.

It covers the whole of West Yorkshire, the western part of North Yorkshire, and small parts of South Yorkshire, Lancashire, and County Durham. The diocese has 656 church buildings.
